This position provides assistance to instructors and students of the Aerospace Technology Campus by performing the duties related to the Aviation Stores tool room. Taking functional direction from the Chief Instructors, the tool room attendant is responsible for issuing, tracking and retrieving of tools and other training materials; shipping and receiving of goods; minor repairs on tools; processing purchases; maintaining and monitoring equipment, tooling, workshop supplies, stationery and consumables for the Aviation programs.Duties and Responsibilities: Maintains adequate Aviation Stores inventory, tooling, and office and stationery supplies necessary to support all Aerospace Technology Campus training requirements, including taking inventory, tracking and replenishing-related activities. Issues, tracks and retrieves equipment, tools, parts, supplies, other training materials and chemicals using BCIT specified systems. Assists students and instructors with equipment, tool, part, supply, materials and chemical identification. Prepares, maintains, issues and tracks toolboxes using BCIT systems. Monitors and reports damage to, or loss of, equipment or tools. Prepares and sends equipment and tools out for repairs. Tracks precision tool calibration. Supports purchasing activities, including reconciliation of purchase card statements. Provides shipping, receiving, and logistical support for campus activity in accordance with shipping and receiving protocols. Monitors, maintains, and disposes of training programme-produced hazardous waste and recyclable materials in accordance with applicable regulations, guidelines and policies. Monitors, and maintains the storage of, and ensures the labelling of fuels, oils, and other chemicals in conformance to applicable regulations, guidelines and policies. Ensures Material Safety Data Sheets (MSDS) for products used in training programs are accessible through the Workplace Hazardous Materials Information System (WHMIS). Monitors and maintains emergency spill kits. Notifies instructors of parts arrivals and coordinates delivery to instructor, student or workshop, as appropriate. Ensures cleanliness, organization and safety of tool room, storage, and associated areas. Ensures security of inventory and Aviation Stores area. Where appropriate, maintains required documentation received with approved aircraft parts and materials in accordance with Canadian Aviation Regulations; ensures batch control of approved aircraft parts and materials. Operates forklift to support campus activities, as required. Answers general enquiries (in-person, telephone, written and e-mail) relating to Aviation Stores activities. Assists with internal and external audits by regulatory bodies, and assists in responding to findings/observations, as requested. Remains current with relevant regulatory-body requirements. Recommends and implements ongoing improvements to administrative and business processes. Acts as the liaison with various service departments. Provides support to co-workers during staff member absences and during peak periods. Undertakes special projects as assigned by the Chief Instructors and/or the Administrative Manager. Participates in Records Custodian training and remains current with record-keeping practices, policies, and procedures (BCIT, FOIPOP and those of regulatory-bodies). Undertakes the duties and responsibilities of Records Custodian in compliance with FOIPOP, Institute and regulatory-body policies and procedures, including: maintaining index and retrieval system of office files through the Directory of Records Database (DRDB,) or appropriate alternative; procuring file folder labels through the DRDB or appropriate, indicate the classification to which files belong; filing incoming documents into the records management system to support the business process, and assists staff members with proper security levels to identify and retrieve active records when required. Undertakes related duties as assigned, consistent with the job grade of this position. Qualifications:Definition: The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT. The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.Education: Grade 12, plus completion of up to six months post-secondary training in administrative systems and business applications, or equivalent. License(s)/Certifications(s): Valid BC driver’s license Valid Forklift Operators license, or willing and able to obtain. Experience: Two years general experience, plus current experience in a position of similar responsibility, preferably in an educational and/or aviation environment. Software/Computer Application(s) and Expertise: Demonstrated ability in using Microsoft Word and Excel applications Experience using database and business enterprises software (such as Banner). Communication/Interpersonal Skills: Excellent interpersonal, verbal and written communication skills; proven ability to provide outstanding customer service Demonstrated ability to work well with others, and deal with conflict using tact and discretion. Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.): Demonstrated ability to make responsible decisions with minimal supervision Must have excellent organizational skills and the ability to handle multiple tasks Accurate keyboarding skills of 40 wpm. Other Skills/Abilities: Proven ability to work effectively independently and as a team member Demonstrated ability to use good judgment, ability to work with confidential information and to demonstrate initiative Must have working knowledge of tools and equipment Must be able to stand for long periods of time and be able to lift and carry heavy objects of up to 50 lbs., without the aid of a hydraulic lift or hand truck.
