Passionate about providing innovative services, we adapt to changes and create new programs that best respond to and address our clients’ specific needs.We have a team of over 70 staff members, speaking more than 30 languages, and is funded by various levels of Government, United Way Greater Toronto, various foundations, corporations and charitable giving.Job SummaryThe Assistant Manager, Programs and Services, works with the Program Manager to coordinates programs which primarily serve newcomers. In this role, the Assistant Manager will support the successful direction of programs and achievement of committed targets and outcomes. The role encompasses a range of responsibilities aimed at supporting the effective operation and delivery of services to clients. Core responsibilities include, but are not limited to program management support, staff supervision and training to ensure that program deliverables are met, monitoring and evaluating staff performance, resource allocation and management, data retrieval and reporting, various administrative task, professional development for staff, stakeholder and partner liaisons where assigned.At the organizational level the core responsibilities include, working in collaboration and supporting CultureLink’s various programs including settlement, employment, mentoring, youth, seniors and mental health services; Support the implementation of an effective feedback system to meet and exceed the agency’s strategic goals related to quality service provision, accountability and equity. Proven experience and/or training (i.e. Diversity & Inclusion) in working with employees and clients from diverse backgrounds as well as strong conflict resolution skills are critical for the role’s success.On-site presence, as well as visits to off-site work locations within the City of Toronto, is required. Work during evening and weekend hours will be required from time to time.Duties Working closely with the Manager, and other management team members, the Assistant Manager will:Staff Coordination Support all aspects of program delivery and day-to-day program operations. Assist in supervising and supporting frontline staff, including scheduling providing guidance, feedback, and mentorship to ensure the delivery of high-quality services. Contribute to staff training initiatives to enhance their skills and knowledge in working with diverse client populations. Monitor staff accountability on attendance, time management, client service outcomes, target attainment, and over-all program health. Assist in ensuring that programs and services adhere to relevant regulations, standards, and best practices. This includes working with the manager on regular program evaluations, monitoring compliance with funding requirements, and implementing quality improvement initiatives as needed. Provide support with the development of new proposals and renewal submissions to contribute to agency growth and diversification aligned with CultureLink’s strategic plan Program Coordination Assist the Manager in overseeing the day-to-day operations of various settlement programs and services. This involves ensuring that programs are implemented efficiently, meeting the needs of clients, and adhering to organizational goals and objectives. Coordinate programs at several off-site locations and lead a team of front-line employees to achieve the program deliverables required under the funding agreement(s) with Federal, Provincial, Municipal, and other funders. When assigned, engage with community stakeholders, including other service providers, government agencies, and community organizations, to build partnerships and enhance service delivery. This may involve attending meetings, participating in collaborative initiatives, and representing the organization in community forums Participate in various Stakeholder Steering Committee meetings, as directed Identify and establish viable connections with new organizations, employers, mentors and agencies in the GTA Collaborate with the Manager to collect and analyze data on program outcomes and client demographics to produce required reports. Assist with the management of organizational resources, including budgets, staffing levels, and program materials. This involves monitoring expenditures, identifying areas for cost-saving or improvement, and ensuring that resources are allocated effectively to meet program needs. Monitor the use of data management systems and accurate data entry by staff. Assist to enroll and train student interns and volunteers of CultureLink. Other Duties Participates in Management meetings Act as a resource to staff and volunteers Other duties as assigned Required Competencies Physical Demands: sitting at a desk for computer work (50% of the workday) and meetings; lifting (files, laptop and program supplies up to 5kg); working in an open office Non-physical demands: travel between worksites; institutions/community partners, monthly deadlines, variety of tasks; some evening and weekend work required. Social/emotional demands: teamwork; relationships/network-building; exposure to emotional situations; working closely with the public, clients and staff Cognitive/mental demands: attention to detail; self-supervision/autonomy; multitasking; organizational ability/time management, adaptability, sound judgement, effective written communication Qualifications Bachelor’s degree, preferably in Social Work, Psychology, Education, or Management or a combination of equivalent experience in a relevant area and education A minimum of 3 years of experience in program delivery/management in non-profit or a related sector Experience working in mentoring/employment programs, and working with community partners, libraries and/or school boards Experience in delivering government funded programs; Federal (IRCC) funded programs specifically is an asset Demonstrated experience in building and maintaining relationships with multiple stakeholders Experience supervising in a unionized environment is preferred Demonstrated ability in written/ verbal communication in English is required Fluency in French and/or other languages is an asset, as is lived experience in/with newcomer communities Satisfactory Vulnerable Sector Screening with the past six months; and Legally entitled to work in Canada
