Nature and Scope The Project Assistant is pivotal in supporting the Trades and Industrial Department at the Saskatchewan Indian Institute of Technologies (SIIT). This role involves providing administrative and project support to ensure the smooth execution of various departmental initiatives and goals. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate. General Accountability The Project Assistant is responsible for supporting the coordination and implementation of projects within the Trades and Industrial Department. Working closely with the Project Manager and other team members, the Project Assistant facilitates and supports operations and accomplishment of project goals. This position will include support with administrative tasks, data collection, reporting, and relationship management with stakeholders. This role demands attention to detail, exceptional organizational skills, and effective teamwork, including assistance with planning and executing departmental events. Specific Accountabilities Administrative Support & Coordination Provide professional administrative assistance to departmental personnel and the direct supervisor to facilitate project completion Finalize logistics for events, projects, and pilot programs, including setup and windup Coordinate with stakeholders on event-related matters and manage event-related data collection Maintain inventory of project assets and assist with purchase order coordination Organize and maintain project files and documents Support the project team in maintaining project documentation and SharePoint sites Maintain knowledge of project progress in order to keep project team informed about status and potential issues Ensure confidentiality of sensitive information and provide regular project updates to the Project Manager and Dean of Trades and Industrial Research & Reporting Assist with project-related research and gather feedback for program enhancements Assist with reports to internal and external stakeholders as requested Assist with the collection and analysis of data; create in-depth qualitative and quantitative reports as required Create and maintain databases to support department outcomes with an advanced understanding of the expected results Edit and proofread general correspondence; edit presentations and reports as required Relationship Management Deliver stakeholder services in a timely and tactful manner Communicate effectively with stakeholders as directed by the Project Manager Cultivate positive relationships with all project stakeholders Ensure strict confidentiality and privacy of information as it relates to students, clients, staff, partners, and other third parties Contribute to SIIT's strategic effectiveness by representing and participating on internal and external committees as required Required Qualifications and Experience: Successful completion of a business certificate or diploma, combined with at least two years of relevant administrative office experience or project administration experience. Good understanding of administrative processes and procedures coupled with a proven proficiency with a variety of software programs in Microsoft Office Suite (particularly Excel, Work, and Access) and other data management software; a minimum typing speed of 60 wpm is required. Experience with project management software is an asset. Must be prompt, reliable and exhibit excellent oral and written communication skills, coupled with a high level of confidentiality. An equivalent combination of education and experience may be considered. Knowledge of First Nations cultures and organizations would be an asset. Candidate must have a valid driver's license and reliable transportation as travel may be required. As this position is considered safety-sensitive, the incumbent will be subject to testing as per SIIT's Alcohol and Substances policy.
